Privacy Policy
What we collect when you use this website, why we collect it, and what we do with it. In plain English, because you shouldn’t need a lawyer to read a gym’s privacy policy.

Who this covers
This policy covers www.berlinohiofitness.com, the website for The Club: Health + Fitness, 5330 County Road 201, Millersburg, OH 44654. It doesn’t cover other companies’ websites we link to — most importantly Momence, where memberships, classes and golf sessions are actually booked and paid for. Momence collects your details and takes your payment under its own privacy policy, not ours. One thing does carry across: our Google Analytics measurement also runs on the Momence booking pages, so that a visit here and a sign-up there count as one visit rather than two. That tells us the sign-up happened — it does not send us what you typed into Momence.
What we collect
We only collect what you type into a form and send us. There is no account to create, and we don’t take payments on this website.
- Every form asks for your name, email address and phone number, plus whatever you write in the message box.
- The contact form also asks what your enquiry is about.
- Personal training forms also ask things relevant to training — your goals, how often you’d like to train, package length, or (for athletes) the sport, age group and format.
- If you ask us to check SilverSneakers eligibility, we ask for your first and last name, phone number, ZIP code and date of birth. We need these to look your eligibility up; we don’t use them for anything else.
- If you enquire about GLP-1 Coaching, you may tell us you’re taking a GLP-1 medication. That’s health information about you. You never have to share medical details through this website — if you’d rather discuss it in person or by phone, please do.
Why we collect it
We use what you send us to answer you and to provide the thing you asked about. We don’t sell your information, and we don’t add you to a mailing list because you sent us a message.
Separately from the forms, we use analytics and advertising tools that collect information about how people browse this site. Those are described under Analytics and advertising below.
Where it goes
- Web3Forms receives the form, then emails it to us. They store submissions for up to three years. See the Web3Forms privacy policy.
- Our email inbox. Josh reads and answers messages himself.
- Our website host keeps standard server logs, which include visitors’ IP addresses, as almost all websites do.
- Google and Meta (Facebook and Instagram) receive browsing information through the tools described below — not the contents of your form messages.
Things on this site that come from other companies
Besides the tools above, a few parts of this website are loaded from other companies. When your browser loads them, those companies can see your IP address and may set their own cookies. We don’t control that, and we don’t receive any of it.
- Google Maps — the map on the Contact page
- Google Fonts — the typefaces used across the site
- Loom — the walkthrough videos on the App & Door Access and Refer a Friend pages
- YouTube — the program video on the Winter Athlete Strength & Conditioning page. We use YouTube’s privacy-enhanced player, which holds off on its cookies until you press play.
Analytics and advertising
We use two tools to understand how this website is used and whether our marketing works. Both are loaded through Google Tag Manager, a Google service that manages them in one place.
- Google Analytics — measures website usage: how many people visit, which pages they view, how they found us (for example a Facebook post, a Google search or an ad), and which buttons and links they use, including whether someone clicked through to sign up on Momence, whether that sign-up was completed, and whether they successfully sent us a form. Where our booking system passes it back, a completed sign-up may also record the order reference and the amount paid — never the name, email address or payment details attached to it. We use all of this to see what’s working and what isn’t. We have switched off Google’s advertising features for this site, including ad personalization.
- Meta Pixel — measures whether our Facebook and Instagram ads bring people to the site and lead to sign-ups, and lets us show our ads to people who have visited. Meta may be able to connect your visit to your Facebook or Instagram account.
What they collect
Your IP address, the pages you view, the page or link that brought you here (including campaign tags on ad links), your device and browser, your approximate location (town or region, not your address), what you click, and a cookie that recognises your browser if you come back.
What they don’t get: your name, email address, phone number, anything you type into a form, or any health information. When you send us a form, the only thing recorded is that a form was sent and which page it was on.
One page is never tracked
Neither tool runs on our GLP-1 Coaching page. Reading a page about weight-loss medication says something about your health, and that isn’t something we’re willing to hand to Google or to an advertising platform. Nothing about that page is sent to either company — no page view, no page title or address, no clicks — whatever your settings are.
Where you are makes a difference
- In the European Union, the wider EEA, the United Kingdom or Switzerland, neither tool runs until you agree. You’ll see a notice asking you, and nothing is switched on unless you say yes.
- Everywhere else, including the United States, both tools run by default. You can switch either one off at any time — see Your choices.
Sharing browsing information with Meta for advertising may count as “sharing” or a “sale” of personal information under some U.S. state privacy laws, even though no money changes hands. You can opt out of it at any time using the settings below, and we honor the Global Privacy Control signal: if your browser sends it, advertising tracking is switched off automatically.
Who receives it
Google (Google Analytics and Google Tag Manager) and Meta Platforms (the Meta Pixel). See Google’s privacy policy and Meta’s privacy policy for what they do with it.
How long we keep it
Form submissions stay with Web3Forms for up to three years, and in our email for as long as we keep the message. If you’d like yours deleted sooner, ask us and we’ll delete it from both.
Google Analytics keeps detailed information about individual visits for 14 months; after that only overall totals remain. The analytics and advertising cookies stay in your browser until they expire, until you clear them, or until you switch that tool off in our settings — which removes them.
Your choices
Email info@berlinohiofitness.com and we’ll:
- tell you what we hold about you,
- correct anything that’s wrong, or
- delete it.
You don’t need to give a reason. Depending on where you live, you may have additional rights under your local laws — ask and we’ll help either way.
To change your privacy settings, use Privacy / Cookie Settings at the bottom of any page. You can switch analytics and advertising on or off separately, as often as you like. We remember your choice on the device you made it on, and switching a tool off also removes the cookies it set.
Global Privacy Control: if your browser sends this signal, we treat it as a request to opt out of advertising tracking and switch the Meta Pixel off for you.
To limit tracking more broadly, everywhere, you can install Google’s Analytics opt-out add-on, adjust your ad settings in Google’s My Ad Center and Meta’s Privacy Center, or block cookies in your browser settings. You can also email us and we’ll tell you what we hold and stop using it.
Children
This website isn’t aimed at children, and we don’t knowingly collect information from anyone under 13. We do train young athletes — when that’s the case we expect a parent or guardian to be the one contacting us. If you believe a child has sent us information, tell us and we’ll delete it.
Security
Everything sent through this site travels over an encrypted connection. No website can promise perfect security, so please don’t send us anything highly sensitive — card numbers, insurance ID numbers, medical records — through a web form.
Changes
If we change how any of this works, we’ll update this page and change the date at the top.
